ESMANN ISLAND OWNER’S ASSOCIATION

BOARD MEETING

05-16-09

Board Members Present: Dave Wagner called the regular meeting t o order at 9:00 a.m.

with Doug Hintzman, Carol Buhman, Barb Engle, Ken Brandel and Mike Shaffer in

attendance. Dottie Reimer, Secretary.

Members Present: Wayne Jensen, Ed Schneider, Bob & Donna Gilkes, Ken Schmerbach

and Robert Preston.

Minutes: Motion t o approve 4-25-09 minutes – Motion to approve byt Buhman, 2nd Hintzman, motion carried.

Treasures Report: Wagner states we still have $7000.00 in checking account, plus the

CD’s in reserve. Motion t o approve treasurers report I* Shaffer, 2″ Brandel, motion

carried.

 Association has 3 members which we have placed liens on for non-payment of

association dues. Shaffer to look at accounts which have liens on and report back.

Wagner stated someone thought we spent excess on snow removal this year. Wagner stated the association budgeted $3,500.00 for snow removal this year and spent $2,760.00. We also budgeted $2,000.00 for grounds this year, and the bid is for this amount as well, for a total of $4,760.00. He compared what was spent in 2007 (as this was the last full year without a sub-contractor) and found we spent approximately $6,100.00 for snow removal and grounds.

This includes: common ground fuel, grader fuel, supplies, repairs, skid loader fees, mileage and compensation for roads and common grounds.

We reduced our cost $1,341.00 a year by going to the sub-contractors.

One bill submitted Dottie Reimer $333.00- no others bills submitted. Motion to

approve, 1st Hintzman, 2″ Engle to approve, motion carried.

Buildinq Permits: 1 permit submitted, Greg Apel 366 River View Road. Building member stated Bill Allyn is putting on an addition. Dave will contact him about permit. Board approved Apel’s permit.

ownership Changes: Dan Vegtor, Lot 175,445 River View Road

Road Report: Brandel stated he spoke with Jamie Smith and he will work with Prairie Road Builders to fill pot holes and seal coat roads when the weather warms up. Ken will call this week t o get a specific date. Board agreed and wants it completed by June 15th, if possible.

Old Business

Hintzman looked at Associations insurance policies and the only suggestion was t o cancel the workman’s compensation policy. Motion to cancel policy 1st’ Shaffer, 2nd Hintzman, motion approved.

Mike Shaffer still working on Esmann Island web site. Handed out copies of what

website will look like. He asked for copies of all by-laws, covenants and road rules,he will put on web-site. He stated should be up and running by June annual members meeting.

 

Donna Gilkes to get association secretary list of all 911 numbers she obtained overthe last 2 years for lots on Esmann.

Wagner stated board needs to review job descriptions for Secretary and

Treasurer’s position. Copies given to each board member present.

Wagner stated maintenance is needed on office door and storage building roof.

Discussion held and all agreed to have Meuser’s Lumber come out and look at.

Wagner had the results of the annual insurance audit and we will get a refund of

$68.00, because the association did not pay out much for compensation.

New Business :

There are 2 board seats which will be up for re-election this June. In order for

names to be added to the ballot form, all nomination forms along with 25 signatures must be turned into the secretary by June 1,2009.

Dave Wagner and Ken Brandel will be seeking re-election.

Ken Brandel and volunteers looked at the equipment inventory the Association has, which is no longer needed. Made a list of items we can sell. Discussion held and motion made to sell equipment to association members at annual meeting via silent auction, 1st Engle, 2″ Shaffer. A list will be posted and silent bids will be taken at the annual June members meeting.

The grader and items belonging to the grader will be sold separately. Discussion

held to contact a broker to sell for us or put on E-Bay. Dave to contact a broker

f i r s t to see what the grader and grader items would be worth.

The dock committee approached Wagner and requested some ply wood needed to fix dock. Approved.

Robert Preston presented photos of water in his property on River View Road.

States drain is too high and backs up onto property. Ken Brandel will call Jamie

Smith and J e f f Friedlein to see how to alleviate this drainwater problem.

Suggestion made to put the compost idea on the agenda, concern was asked as to whom would patrol contents. Board agreed to put on agenda for the June annual members meeting.

Someone noticed Cindy Miller planting flowers again this year at the entrance to the island. A thank you will be sent.

With no further business t o discuss, there was a motion by Hintzmann, 2nd by Shaffer to adjourn the meeting at 10:32 a.m. All ayes, motion carried.

Next meeting scheduled for June 20, 2009 after the annual members meeting at 10:OO a.m.
