Board Meeting

July 21, 2018

Board Members Present:

Meeting called to order at 8:10 am by President Terry Denner. Board members present: Tom Reimer,  Bruce Copeland, Bob Buhrow, Jane Ertl, Chip Flory, Tony Reyerson  Also present were Helen Schwietert (Treasurer) Laurie Helling (Secretary)

Members present: Don Niosi, Dave Wagner

Minutes:

  • Minutes of 6-23-18 meeting read aloud by Secretary. Motion made by Chip Flory to approve the board minutes of 6-23-18  2nd by Tom Reimer.  All approved. Motion carried.

Treasurer’s Report:

  • Terry Denner & Jane Ertl recently moved funds to an 8 month CD at Fidelity Bank with a 2.35% rate.
  • Accumulated Depreciation was noted and corrected in the QuickBooks report on the Association laptop.
  • Per Treasurer: Still about 19-20 Member Dues Outstanding. Will be sending reminders. Need to be paid ASAP. Any assessment not paid by August 3, 2017 will be assessed an interest charge of 12%.
  • Motion made by Bruce Copeland to approve Treasurers Report. 2nd Bob Buhrow. All approved. Motion passed.

Bills:

  • Bills Presented:  Utilities, Mowing, 2 invoices for gate materials.
    • Materials were purchased for fabrication of high water gates for back road  $694.08 and $199.85
    • Mowing- Current mowing service will finish out the 2018 year.
    • Bids will be taken for the 2019 mowing for common grounds.
      • Will place ad in Guttenberg Press
    • Treasurer’s Time Sheet $390.75
    • Utlities: Black Hills *Board will ask BH to remove the gas meter at office building. Hardly ever used. Will switch furnace to propane tank.

      • Alliant
  • Tony Reyerson made motion to approve bills, Chip Flory 2nd. All in favor.  Motion carried.

 Building Permits:  None at this time

  • Road Deposit remitted by Kent Root & Jane Ertl
  • Note: Seawall construction does need a permit from board including Road Deposit.

Property Ownership Changes:

  • Lot 210 (357 Second Ave) from Hess to Biedermann Homes, LLC .

Road Report:   At conclusion of meeting, Board members will drive around island to inspect current road deposit checks and if they are ready to be returned to members.

Boat Storage Committee:   Don Niosi presented updated and current list for fall storage. At this point the building is full and members on waiting list. Any questions, please contact Don Niosi.

Ramp Committee:   North Ramp Work has been completed and open for use.

Pond Committee:   Thank you to everyone who volunteered for Clean Up Day at the Pond

OLD BUSINESS:

  • Association Insurance
    • Board is conducting a review of current insurance, cost, coverage and policies as the renewal date is approaching August 15th. Annual cost has been approx. $4500 this past year.
    • Discussion held on reviews so far of coverage for general liability, umbrella policy, coverage for fiduciary activity etc.
    • New bids from Grinnell Mutual and United Fire
    • Dave Wagner was present at meeting and verified the Esmann Association is a ‘C” Corporation on taxes rather than an HOA.
    • Discussion tabled upon further review of coverage, policies and cost comparisons.
    • August 11-Special Meeting of Board members to discuss and decide on insurance going forward.
  • REMINDER: Esmann Island Garage Sale—Weekend July 28!

 NEW BUSINESS:

  • Shelter Rafters and poles have been donated
  • Discussion held on future use of shelter/pavilion and having a sign-up sheet for reserved use.
    • Discussion on a small reservation fee
    • New signage for pond and common ground area

  Next Board Meeting is August 18, 2018 at 8:00 am

 Terry Denner asked for motion to adjourn. Motion made by Jane Ertl,  2nd by Bob Buhrow.  Motion approved.  Adjourned at 9:05 am.
